Helpful Tips for a Comfortable Online Meeting

Welcome, and thank you for taking the time to prepare for your online meeting. These simple tips are here to help you feel comfortable, confident, and ready for a smooth session.

Please read these tips before your online meeting so the session can run smoothly.

  • Choose the technology you would like to use. Skype and Zoom are usually reliable and allow screen sharing.
  • Use the largest screen available, if possible.
  • If you are using a phone, prop it up securely. The meeting will last at least one hour.
  • Choose a private space where you will not be interrupted or overheard by adults or children.
  • Check that you are camera-ready and that no private information is visible in the background.
  • Try to limit distractions. If you are expecting a delivery or visitor, arrange for someone else to answer the door if possible.
  • If you have young children or pets, try to arrange care for them or provide something to keep them occupied.
  • If anyone loses connection, we will try to reconnect. If the connection is completely lost, the time will be made up.
  • Sit with your whole face in view of the camera, and avoid covering your mouth so you can be seen and heard clearly.
  • Please try not to speak over the other person on the call.
  • If the meeting is longer than one hour, we will try to arrange a test meeting beforehand, if time permits, to make sure the technology works.
  • Try to avoid holding meetings from your car as it’s a metal box after all, and your phone can get very hot. Additionally, due to wifi availability, it may be a poor connection.
